POSITION SUMMARY
The Alliance for Children’s Rights is seeking a dedicated individual to join our Administration Team as an Office Assistant under a temporary, non-exempt, part-time (three days a week) paid position.

The Alliance for Children’s Rights is a nonprofit organization that provides free, holistic, legal services and advocacy to youth and families impacted by child welfare and juvenile justice systems in Los Angeles County. Our lawyers, advocates, and social workers, together with hundreds of pro bono attorneys and community volunteers, work to ensure young people in foster care and guardianships can overcome barriers to stability and success and access to the education, healthcare, and financial supports they need. EXPERIENCE and skills
• Minimum 2 years of college courses required, or equivalent proven administrative experience.
• Knowledge of standard office operations and procedures.
• Working knowledge of standard office equipment and the ability to troubleshoot repairs and schedule services.
• Working knowledge of Apple and Windows devices.
• Proficiency in MS Office (Word, Excel, PowerPoint, SharePoint) and Adobe Pro required.
• Prior experience with audio/visual (A/V) and conferencing equipment, including troubleshooting and setup of projectors, video conferencing tools, sound systems, and related hardware or software.
• Minimum 1 year experience using and troubleshooting VOIP services.
• Minimum 1 year experience using and troubleshooting workplace apps
WHAT YOUR IMPACT WILL BE
Our administration staff manage office operations, risk and fiscal management, human resources, and information technology. The Alliance has office space in Los Angeles to support our 65+ employees. The Office Assistant will interact with all levels of staff, building employees, vendors, and other stakeholders to provide facility coordination and general office support. The successful candidate will have a proactive approach to understanding and executing the facility’s needs to ensure successful outcomes. The incumbent should have a talent for multi-tasking, with a high degree of communication and organizational skills.
Under the direct supervision of the Associate Director of Administration, the Office Assistant will help support the day-to-day functions of the office. Duties include but are not limited to:
• Assist the Front Desk Coordinator with processing daily mail in accordance with internal procedures and controls; provide support in scanning and disseminating incoming mail to appropriate staff and interns.
• Process incoming deliveries in accordance with internal procedures and controls; ensure sufficient space to store deliveries as needed; handle outgoing shipping requests.
• Provide logistical support for office meetings and events as delegated. This may include set up and breakdown of meeting rooms, arranging for audio/visual and conferencing equipment, and other facility related support.
• Organize and maintain the office supply room, categorizing items for easy access and efficient workflow, and providing the Front Desk Coordinator with reorder list. Organize and maintain two (2) external storage rooms located in the building parking structure, to ensure safe and easy access to stored items.
• Assist with disseminating and collecting Alliance equipment, supplies, tools and other materials as needed.
• Assist with inventory tracking of supplies, office furniture, and other equipment; properly store equipment and materials in designated spaces; regularly restock the general office with PPE and other supplies as needed.
• Assist with maintaining office equipment including inspecting for defects, cleanliness, or required repairs, and escalating equipment issues to the Associate Director of Administration.
• Provide backup support to the Senior Administrative Coordinator and Front Desk Coordinator; offer support and troubleshoot staff requests that other departments or IT vendors do not address.
• Participate in department team meetings, activities and planning.
• All other duties as assigned.

• Must be a self-starter with the ability to work both independently and within a team

COVID-19 CONSIDERATIONS:
This position typically works out of our Los Angeles office. However, due to Covid-19, this position may be asked to temporarily work remotely from home. This position may be asked to return to work in the office at any time at the employer’s discretion. Currently, in office presence is required three days per week. Preference will be given to candidates who live in (or plan to relocate to) Los Angeles county

Salary Range
Target starting salary range is $23.00/hr up to $26.00/hr and is set commensurate with experience. This position works less than 30 hours per week and is not eligible for vacation pay or employer provided insurance benefits.
